Best Handyman Invoicing App: Features, Checklist and Options
The best handyman invoicing app lets you invoice from your phone, accept cards, request deposits and chase payments. Checklist and options inside.
Published · HandyBook Team
The best handyman invoicing app is the one that lets you turn a finished job into a paid invoice from your phone in a couple of minutes, with a card-payment link, automatic reminders and records your accountant can use. Features to insist on: line items carried over from the quote, card payments by link, deposit and partial-payment handling, offline use, and clean exports for tax time. The right product depends on whether you only need invoicing or a full job-management tool.
We make HandyBook, so we are one of the options discussed here. This guide gives you the checklist first, so you can judge any app, ours included.
Why invoicing speed matters
An invoice you send the same day gets paid sooner than one that sits in your head until Sunday night. That is common sense rather than a statistic, and it is the reason a good invoicing app focuses on speed: fewer taps between "job done" and "invoice sent." If sending an invoice is a chore, you will batch them, and batching delays your cash.
Your invoicing process also affects how you look. A clear, itemized invoice with a pay button tells customers you run a real business. A text that says "you owe me $480, Venmo me" invites questions. For templates and layout guidance, see our handyman invoice template guide.
The 8 things a handyman invoicing app must do
1. Create an invoice from a quote or job
Retyping line items is where errors and resentment come from. The app should convert an accepted quote into an invoice with one tap, then let you add change orders or extra materials before sending.
2. Accept card payments from a link
Customers pay faster when paying is easy. Look for a pay-by-card link in the email or text, and a hosted payment page that works on a phone. Ask about:
- The card processing rate and any extra platform fee.
- How soon funds reach your bank account.
- Whether you or the app company holds the merchant account.
- Whether ACH bank transfer is offered, which can cost less on large invoices.
Fees vary, and we do not quote competitors' rates. Read each vendor's payments terms. For a deeper look at processors, see Stripe vs Square for handymen.
3. Handle deposits and partial payments
Larger jobs often start with a deposit for materials and finish with a balance. A good app lets you issue a deposit invoice or request a partial payment, then apply it to the final invoice so the customer sees what has been paid and what remains. Deposit rules vary by state and by job type, and some states cap deposits on home improvement contracts, so check your state contractor board before setting amounts.
4. Send reminders automatically
Chasing payment by hand is awkward, and it is easy to forget. Look for automated reminders before and after the due date. You should be able to edit the wording so it sounds like you. In HandyBook, automated quote and invoice reminders are part of the Pro plan, per the fact sheet.
5. Work offline
Basements, rural jobs and new builds often have weak signal. You want to create an invoice in the driveway and have it queue and send when you reconnect. HandyBook's iPhone app lists offline queueing as a core feature, and you can read more about why this matters in our offline mode guide. Test any app in airplane mode before you trust it.
6. Deliver by email and text
Customers read texts. Many ignore email. The app should let you deliver by the channel the customer actually uses. In HandyBook, email delivery is on every plan and SMS delivery of quotes and invoices is on Pro.
7. Track what is paid, unpaid and overdue
At a glance you need to see who owes you what and for how long. A simple list sorted by age beats a dashboard full of charts.
8. Export clean records for tax time
Your CPA needs revenue, expenses, mileage and payments in a format they can use. The app should export invoices and payments, and ideally connect to accounting software. We cover tax prep in the handyman tax season guide. Sales tax on labor and materials differs by state, and some jurisdictions tax services differently from goods, so ask a CPA or your state department of revenue how to configure it. Do not guess.

Categories of invoicing apps
You do not need a list of every product. You need to know the types, because each has a different trade-off.
Invoicing-only apps. Focused tools for creating and sending invoices. They are generally low-cost and fast to learn. Joist is a known example of an estimating and invoicing app for contractors. The limitation is that scheduling, customer history and job tracking may be missing or limited by plan, so check what each tier includes.
Accounting software with invoicing. QuickBooks and similar products create invoices as part of bookkeeping. They are strong on records and tax, less so on field use. See our QuickBooks guide.
Payment processor invoicing. Stripe and Square both offer invoice features as part of their payments platforms. They are good at collecting money and lighter on job context.
All-in-one handyman or field service software. Quote, schedule, invoice, collect and track in one place. This includes larger platforms such as Jobber and Housecall Pro, and smaller-shop tools like HandyBook. For comparisons see our best handyman app post and the Jobber vs Housecall Pro framework.
Spreadsheets and templates. Free and flexible, but manual. They are a reasonable start and a poor long-term system once you have regular customers. See free vs paid handyman software.
Where HandyBook fits
Per the HandyBook fact sheet, every plan includes invoices with pay-by-card links, line-item quotes, a customer payment page, email delivery, PDF export, expense tracking, revenue, profit and tax reports, and the iPhone app. Starter is $44.99 a month, Pro is $119 a month and Business is $299 a month, with a 14-day free trial. Card payments run through your own Stripe account, with Stripe's standard fees plus a 0.5% HandyBook platform fee.
What we do not do: there is no native Android app, only a web app in an Android browser, and the product is not meant for commercial construction billing such as AIA progress billing. If you only need to send a few invoices a month, a cheaper or free tool may serve you better, and we say so in the free vs paid guide.
The cost of getting paid late: a worked example
Suppose you invoice $8,000 a month and customers take an average of 21 days to pay when you send paper-style invoices or texts. With a pay link and reminders, assume you cut that to 7 days. These numbers are assumptions to show the method, not measured results.
- Cash tied up before: $8,000 x 21 / 30 = $5,600 on average.
- Cash tied up after: $8,000 x 7 / 30 = about $1,867 on average.
- Difference: roughly $3,733 less money waiting on customers at any time.
That does not make you richer. It means less cash stress and less borrowing against your own work. Use your real numbers to see whether faster collection matters for you.
Invoice details that prevent disputes
A better app helps, but the content of the invoice still matters. Include:
- Your business name, phone number and any license number your state requires on invoices.
- The job address and date of service.
- Itemized labor and materials, with quantities.
- Payment terms, such as "Due on receipt" or "Net 7."
- Accepted payment methods and the pay link.
- Any warranty or workmanship note.
Licensing and invoice requirements differ by state. Check your state contractor board's website for what must appear on contracts and invoices.
Copy-paste payment reminder texts
Day of invoice:
"Hi [Name], thanks for having me out today. Your invoice for [job] is here: [link]. You can pay by card right from your phone. Let me know if you have any questions."
3 days after due date:
"Hi [Name], a quick reminder that invoice #[number] for $[amount] is open. Here's the pay link: [link]. Thanks!"
10 days after due date:
"Hi [Name], I haven't seen payment on invoice #[number] for $[amount] yet. Can you take care of it this week? If there's an issue with the work, tell me and I'll make it right."
Keep reminders polite and specific. For harder cases, read about handling difficult customers.
FAQ
What is the best invoicing app for a handyman?
The best one lets you invoice from your phone, accept card payments by link and send automatic reminders, within your budget. Use the checklist above on two or three free trials and choose the one you finish fastest. If you want invoicing plus quotes and scheduling, look at all-in-one tools.
Is there a free invoicing app for handymen?
Free invoice templates and some free plans exist, but they usually limit features such as card payments, reminders or the number of invoices. Check current terms on each product. Our free vs paid guide explains when free is enough.
Can I take a deposit with an invoicing app?
Many apps let you invoice a deposit or collect a partial payment, but how it works differs by product. Check how the deposit is applied to the final invoice, and check your state's rules on deposit amounts for home improvement work.
Do I need to charge sales tax on handyman invoices?
It depends on your state and sometimes your locality, and rules for labor and materials differ. Ask your state department of revenue or a CPA, then set the rate in your invoicing app accordingly.
How can I get paid faster as a handyman?
Send the invoice the same day with a card-payment link, state clear terms, and use automatic reminders. Offering a deposit on bigger jobs also reduces risk. See our payment methods guide for more.
The bottom line
Choose the invoicing app that gets a finished job to a paid invoice in the fewest taps, with card links, reminders, offline use and clean records. Test it on a real invoice before paying. If an all-in-one tool sounds right, the HandyBook 14-day trial lets you send and collect one before you decide.
