Partial Payments & Recording Payment
Not every invoice is paid in one lump sum. HandyBook tracks the amount paid and the balance due, so partial payments and deposits work cleanly.
Recording a payment
- Open the invoice
- Click Record Payment
- Enter the amount (it pre-fills the full balance due — change it for a partial payment)
- Pick the Payment Method — Cash, Check, Card, Bank Transfer, Venmo, Zelle, or Other
- Optionally add a reference number and notes
- Save
The amount can't exceed the remaining balance. After saving, the invoice updates:
- Amount paid increases
- Balance due decreases
- Status becomes Partial (or Paid once the balance reaches zero)
Marking an invoice paid
If a customer paid the full balance offline, click Mark as Paid — it opens Record Payment pre-filled with the full balance so the invoice closes out and the payment is logged.
Deposits
To take a deposit, create an invoice for the deposit amount and record the payment against it. Bill the remainder on a separate invoice when the work is done. (There isn't an automatic deposit-on-acceptance step — handle deposits as their own invoice.)
Where payments are tracked
Every recorded payment appears in the Payments screen, where you can open it and split it across your accounting (GL) codes.
