Creating an Invoice

An invoice is your bill to the customer. You can build one from scratch or from a job.

How to create an invoice

  1. Go to Invoices in the sidebar
  2. Click New Invoice
  3. Fill in the form
  4. Click Create Invoice

You can also start an invoice from a job: open the job and click Create Invoice — the customer and job are pre-filled and line items load from the quote and tracked time.

What's on the New Invoice form

Invoice Details

  • Customer — pick from your customers
  • Link to Job (optional) — choose an un-invoiced job for this customer. Linking pulls in the job's quote line items and any closed billable time entries as a labor line.
  • Due Date
  • Tax Rate (%) — defaults to your company tax rate

Line Items. Each row has a Type (Labor, Material, Flat Fee), Description (required), Qty, and Unit Cost. Subtotal, Tax, and Total calculate live. Use Add Item for more rows. Every line needs a description and a unit cost greater than zero.

Notes — payment terms, thank-you message, etc.

Status and numbering

New invoices are saved as Draft with an auto-generated invoice number. You land on the invoice's detail page to review, send, and take payment.

Pulling from a job

When an invoice is linked to a job, you can later click Refresh from Job on the invoice to re-pull the quote line items and tracked labor (available while the invoice isn't paid or void).

FAQ

Can I invoice without a job? Yes — leave Link to Job empty for a standalone invoice.

Where do line items come from when I link a job? From the job's quote, plus closed billable time entries as a labor line.

Can I add items that weren't on the job? Yes — add any line items you like before sending.

How do I change the due date later? Open the invoice and click Edit.
