Scan a Receipt (Receipt OCR)
Snap a photo of a receipt and AI reads it — vendor, total, date, tax, category, and line items — then pre-fills an expense for you to save. Available on the Business plan.
Where to find it
Open Dashboard → Expenses → Scan (/dashboard/expenses/scan), titled Scan a receipt. On lower plans the page is locked behind an upgrade prompt.
How to use it
- Click Take a photo or upload. On a phone the camera opens directly; on desktop you pick a file. The receipt previews and shows a green Ready badge once the upload finishes.
- Wrong shot? Click Choose different photo.
- Click Read receipt (it shows Reading… while the AI works).
- The Review & save card appears with a Confidence badge and the extracted fields:
- Vendor
- Total
- Date
- Category (a suggested expense category)
- Tax
- Payment method
- Line items, if printed clearly
- Click Create expense to open the new-expense form pre-filled with the vendor, amount, date, category, and the receipt photo attached — adjust anything and save. Or click Scan another to start over.
Get the best read
- Flatten the receipt and shoot in good light, no harsh shadows.
- Frame the whole receipt, top to bottom, with a small margin.
- Capture promptly — thermal receipts fade fast in a hot truck.
The Confidence badge flags how sure the AI is. On a low read, double-check the total and date before saving. Handwritten, crumpled, or faded receipts read less reliably than clean printed ones.
What it costs
Receipt scanning draws from your account's shared monthly AI budget — a $20 real-cost cap pooled across your whole org. A scan costs a fraction of a cent, so you can read thousands per month. If the budget is exhausted, scanning pauses until next month or until you buy a credit pack. See the AI usage & budget article.
FAQ
Is this on every plan? No — Receipt OCR is a Business-tier feature. On Starter and Pro you can still create expenses manually from Expenses → New.
Can I still attach the original receipt? Yes — the photo you scanned is carried through to the expense as an attachment, so you keep the source image alongside the data.
Why is the page greyed out? Scanning is Business-tier. The page shows a locked preview with a one-click upgrade on lower plans.
