Job Status Lifecycle
Every job carries a status that tells you where it sits in your pipeline. You change it with the status dropdown — on the Jobs list (the colored pill in each row) or in the header of a job's detail page.
The eight statuses
- Lead — interest, not booked or quoted yet (gray)
- Quoted — a quote has been built (purple)
- Approved — the customer accepted/approved the quote (blue)
- Scheduled — on the calendar (cyan)
- In Progress — actively being worked (amber)
- Complete — work done (green)
- Invoiced — an invoice has gone out (indigo)
- Paid — paid in full (emerald)
These are the same statuses everywhere — the Jobs list filter, the Pipeline view columns, and each job's header dropdown.
Changing status
- On the Jobs list: click the status pill in a row and pick a new status — it saves immediately.
- On a job: use the status dropdown in the top-right of the job header.
When you set a job to Complete, HandyBook stamps the completion date and fires your job-completed automations (e.g. review requests) if you have CRM triggers set up.
How status changes elsewhere
- Building or sending a quote, and the customer signing it, drives the quote's own status (see the Quotes articles). Signing a quote sets it to Accepted and you can then Convert to Job.
- Converting an approved quote to a job creates the job as Scheduled.
- There's no fully automatic status engine — you move jobs through the pipeline yourself, which keeps your list accurate.
Two ways to view your pipeline
On the Jobs screen, switch between:
- List — sortable table (Job, Customer, Status, Scheduled, Estimate)
- Pipeline — Kanban-style columns, one per status, with a count on each
FAQ
Can I skip statuses? Yes. A repeat customer who books without a quote can go straight from Lead to Scheduled.
Is there a "Cancelled" status? No. The pipeline runs Lead → Paid. To remove a job from active work, delete it (header trash icon).
Does status affect the calendar? The Schedule calendar shows jobs that have a scheduled date, regardless of status.
Can I filter by status? Yes — use the All Statuses dropdown above the Jobs list, or read the count on each Pipeline column.
