Team Members & Roles

Inviting your team gives each person their own login, their own activity trail, and a role that controls what they can do. The whole thing lives at Dashboard → Team.

The roles

HandyBook has four roles:

  • Owner — full access, and the only role that controls billing and the subscription. There's one owner (you), set when the account is created.
  • Admin — full operational access plus team management (invite, change roles, remove). Can't touch billing.
  • Member — day-to-day operational access for office and shared work.
  • Employee — field-focused access, ideal for techs and crew.

You can also fine-tune what any teammate sees in the sidebar with per-member navigation access — see Customizing Your Sidebar Navigation.

Seats

Each active teammate uses one seat. The Team page shows a bar like "3 of 5 seats used." If you're at your limit when inviting, you'll see "You've used all your seats. Buy an additional seat to add more." — use Add seat (owner) or Change seats on the Billing page. Stripe pro-rates the added seat for the current cycle.

Inviting a teammate

  1. Go to Dashboard → Team.
  2. In the Invite Team Member box, enter their email.
  3. Pick a role from the dropdown: Member, Admin, or Employee.
  4. Click Invite.

You'll see "Invitation sent to …". They receive an email (sent from handymanbook.app) with a link to set their password and join. Owners and admins can send invites.

Managing pending invites

For an invite that hasn't been accepted yet, you can Resend the email or Revoke it (which frees the seat).

Changing a role

Open a teammate and pick a new role. You can't change the owner's role from here, and billing stays owner-only regardless of role.

Removing a teammate

Open the member and choose Remove, then confirm. They lose access immediately and their seat is freed for someone else. Work they did (jobs, time, etc.) is preserved.

FAQ

Who can invite people? Owners and admins.

Can I run out of seats? Yes — invites are blocked at your seat limit. Add a seat from Team or Billing; the charge is pro-rated.

Do teammates see customer card numbers? No — card details live at Stripe, not in HandyBook. No one sees full card numbers.

How do I limit what a teammate can see in the sidebar? The owner can hide specific links per person under Settings → Navigation. See Customizing Your Sidebar Navigation.

Can a teammate change billing? No — only the owner manages the subscription, seats, and cancellation.
