Unallocated Transactions
The Unallocated page lists the payments and expenses that have not been assigned to a GL code yet. Anything left here is missing from the matching account on the GL report, so clearing this list keeps your books complete.
Where to find it
Open Reports → GL Report and follow the link to Unallocated, or go to /dashboard/unallocated. The back arrow returns you to the GL report.
Reviewing the list
- Use the Payments and Expenses tabs to switch between incoming and outgoing money. Each tab shows how many items are waiting.
- Pick a start and end date to review a period. The range defaults to the current month.
- Sort the table by any column header.
When everything in the range is allocated you will see "Everything in this range is allocated." Adjust the dates or switch tabs to review more.
Assigning a GL code
- Find the row and open the Assign GL menu.
- Choose a code. The whole amount is allocated to that code and the row leaves the list once it saves.
To spread one transaction across several codes (for example, a supplier bill that covers both materials and equipment), select Split on that row. It opens the payment or expense, where you divide the amount between codes. The split lines must add up to the transaction total, and every line needs a code.
Tips
- Set up your GL codes first on the GL Codes page (
/dashboard/gl-codes) so the menu has the accounts you use. - Allocate as you go, or set aside a few minutes at month end before you send the GL report to your accountant.
