Time Report
Hours worked, by tech, by customer, by job. The Time Report drives payroll, labor cost analysis, and capacity planning.
What it shows
- Total hours for the period
- Billable vs. non-billable breakdown
- Hours by tech
- Hours by job
- Hours by customer
- Hours by job type / service category
Filtering
- Date range

- Customer
- Job type
- Billable only / non-billable only
- Tagged with specific tags
Per-tech breakdown
For each tech in the period:
- Total hours
- Billable hours
- Utilization % (billable / total)
- Total billable revenue (hours × billable rate)
- Total cost (hours × cost rate)
- Average ticket per hour worked
Utilization is a key efficiency number — most healthy field-service businesses run 60-75%.
Per-job breakdown
Shows how long each job actually took vs. (if relevant) what was estimated:
- Estimated hours (from quote)
- Actual hours (from time tracking)
- Variance %
Persistent overruns flag pricing problems or scope creep.
Daily / weekly views
- Day — hour-by-hour timeline of all techs
- Week — 7-day grid of hours per tech per day
- Month — calendar with hour totals per day
Useful for spotting patterns: thin days, overworked weeks, missing entries.
Payroll export
For weekly or biweekly payroll:
- Reports → Time → Export for Payroll
- Pick the period and techs
- CSV exports with: tech name, hours, OT hours (if you've configured OT thresholds), hourly rate, gross pay
- Import into your payroll provider (Gusto, ADP, QuickBooks Payroll, etc.)
Overtime
Configure OT rules in Settings → Payroll → Overtime:
- Daily threshold (e.g. 8 hours/day)
- Weekly threshold (e.g. 40 hours/week)
- Multiplier (e.g. 1.5x)
Hours over the threshold are auto-flagged in time reports and on payroll exports.
Labor cost vs. revenue
A useful chart: hours-revenue-cost lines over time. When labor cost grows faster than revenue, you're losing efficiency. Easy to spot visually.
Missing entries
The report flags days where a tech had a scheduled job but no time entries — likely forgotten timer. Click to fix.
Approving timesheets
For team setups:
- Techs log their own time
- Friday afternoon: each tech submits their week
- Owner / manager approves (or asks for fixes)
- Approved time is locked from edits and used for payroll
Toggle approval workflow in Settings → Time Tracking → Approvals.
GPS proof
If location-stamped time entries are enabled, each entry shows:
- Where the timer started (address)
- Where it stopped
- Distance moved during the entry (or "stationary")
Useful for billing disputes or audit needs.
FAQ
Do unbilled hours count in profit reports? Yes — they're a cost regardless of whether they were billable. If a tech spent 4 hours on warranty work, that's 4 hours of labor cost on a $0-revenue job.
Can I track time without billing rates? Yes — but you won't see labor cost or billable revenue. Setting rates makes the report many times more useful.
What if a tech logs time on the wrong job? Edit the entry to move it to the right job. Logged automatically in the entry's history.
Can I see how a tech's hours compare week-over-week? Yes — toggle compare period at the top. Last week vs. this week, etc.
Why does utilization matter? It tells you whether your team is actually generating revenue or just present. Low utilization (under 50%) usually means too many techs for current demand, or training/admin time eating into billable.
