AI Bill Matches (QuickBooks)
Bill Matches pairs the supplier bills you have in QuickBooks Online with the accepted quotes they were spent on. When you confirm a match, the bill's total is added to that quote's cost, so the Project P&L report shows what the job really cost you.
Bill Matches is part of the Business plan and needs QuickBooks Online connected under Settings → Integrations.
Running the matcher
Open Billing → Bill Matches and select Run matcher. HandyBook looks at every QuickBooks bill that has not been matched yet, compares it with your accepted quotes (vendor, amount, dates and memo), and proposes the best match for each one. Bills that already have a match waiting or confirmed are skipped, so running it again is safe.
Reviewing a proposed match
Each proposal shows the QBO bill (vendor, bill number, date, total, memo) next to the accepted quote (quote number, customer, job, total) with a confidence score:
- Strong (80% and up): the details line up closely.
- Likely (60–79%): worth a quick check.
- Weak (below 60%): check carefully before confirming.
Then choose:
- Confirm: the match is recorded and the bill total is added to the quote's cost.
- Reject: the proposal is dismissed and nothing changes on the quote.
The page shows how many matches are pending review and how many are resolved.
Tips
- Matches are suggestions. Nothing is written to a quote until you confirm.
- If no proposals appear, make sure your QuickBooks bills have synced and that the quotes they belong to are accepted.
