Subscribing Customers to Plans
Once your plan is live, you can enroll customers in three ways: customer self-signup, manual enrollment, and AI-assisted recommendation.
Method 1 — Customer self-signup
The easiest scaling path:
- Customer portal shows your active plans
- Customer picks one
- Enters billing info (Stripe checkout)
- Subscribed
Customers can self-signup from:
- Customer portal home
- Branded landing pages you share
- Email links
- QR codes on receipts ("Save 10% — join our care plan")
Method 2 — Manual enrollment
For sales conversations or in-person closes:
- Open the customer record
- Tap + Subscribe to Plan
- Pick the plan
- (Optional) Adjust price (for special deals)
- Customer enters card or you charge a card on file
- Confirm
Useful when you've sold them on a plan during a job and want to enroll them right there.
Method 3 — AI-assisted (Business tier)
The system spots good candidates:
- Customer with 4+ jobs in the last year → likely plan candidate
- Customer paying full price for repeat services → save them money via plan
- Customer flagged "loves us" (5-star reviews, multiple referrals) → easy yes
You see these as AI Insights on your dashboard. Tap "Pitch the plan" → pre-filled email goes out with personalized rationale.
What happens on enrollment
Automatic actions:
- Card saved at Stripe (PCI compliant)
- First charge processed (or trial starts)
- Welcome email sent to the customer
- Plan-included recurring jobs auto-scheduled
- Customer flagged with "Plan member" tag in HandyBook
- Member benefits activated immediately
Welcome email
Customizable in Settings → Plans → Welcome Email. Defaults include:
- "Welcome to [Plan Name]"
- What they get (recap of perks)
- Their first scheduled visit (if applicable)
- How to manage their plan from the portal
- Your contact info
First visit experience
Make it special:
- The first plan visit should feel premium
- Maybe extras included that aren't part of the plan ("free X for new members")
- Tech mentions plan benefits during the visit ("By the way, you get 10% off all extra work — want me to take care of [extra thing] today?")
A great first visit dramatically increases retention.
Onboarding drip
Set up a drip campaign for new members:
- Day 0: welcome email
- Day 3: "Here's what you get" recap (educate them on perks)
- Day 14: "How's it going? Any feedback?" check-in
- Day 30: "Don't forget [perk] — book your free [thing]"
- Day 60: "Refer a friend, get next month free"
Move them from passive subscriber to engaged advocate.
Customer self-management
Customers can manage their plan from the portal:
- View next billing date and amount
- Update payment method
- View included visits scheduled
- Pause (for snowbirds — no billing during paused months)
- Cancel
Cancellation flows often include a "Why are you leaving?" survey — gold for understanding churn.
FAQ
What if the customer's card fails on first charge? Stripe Smart Retries kicks in automatically (3-4 retries over 7 days). HandyBook also notifies the customer to update their card. If unresolved, plan is paused after the retry window.
Can I offer a custom price for one customer? Yes — at manual enrollment, override the price. Useful for negotiated deals or grandfathering early customers.
Can I migrate existing customers to a new plan? Bulk-select existing members → Bulk Action → Migrate Plan → pick destination. With customer consent (email goes out asking them to confirm).
Do customers get prorated billing if they upgrade mid-month? Yes — Stripe handles proration automatically. Customer pays the difference for the remaining days in the period.
Can I require a contract / signed agreement? Yes — toggle "Requires signed agreement" on the plan. Customer e-signs the terms during enrollment, signed copy stored on their record.
