Managing Member Benefits

Plan members pay you regularly because of the benefits they get. Configure them carefully — too thin and customers churn, too generous and you lose money.

Types of benefits

Service discounts

  • "10% off all non-plan services"
  • "20% off labor, materials at cost"
  • Auto-applied when invoicing plan members

Priority scheduling

  • Plan members see priority slots (the next available days reserved for them)
  • Non-members see a longer wait
  • Configurable in Settings → Plans → Priority Hours

Free or included visits

  • Quarterly tune-up
  • Annual safety check
  • Auto-scheduled, no extra charge
  • Configured per plan

Free perks per period

  • "Free filter swap quarterly"
  • "Free smoke alarm test annually"
  • Auto-enabled when due, customer can redeem from portal

Member-only services

  • Some services available only to members (not on public catalog)
  • Or available at member-only pricing

Waived fees

  • "No trip charge for plan members"
  • "Free emergency callout (off-hours visit fee waived)"
  • Auto-applied to invoices

Loyalty perks

  • Birthday discount
  • Anniversary perk (1 year membership = free X)
  • Refer-a-friend bonus

Configuring benefits

In Settings → Plans → [plan name] → Benefits:

  • Toggle each benefit on/off
  • Set discount %, free service quantity, etc.
  • Pick which apply to which tier (if you have tiered plans)

Benefit tracking per member

On the customer record:

  • Plan benefits available
  • Benefits used this period
  • Remaining redemptions
  • "Birthday this month" reminder for any seasonal perk

How benefits show on invoices

Plan member invoices auto-show:

  • "[Plan Name] member — 10% discount applied"
  • Discount line items show the savings explicitly
  • Customer sees the value they're getting from membership

This consistent visibility is what keeps customers feeling like the plan is worth it.

Communicating benefits

Customers easily forget what they're paying for. Combat this:

  • Welcome onboarding — recap benefits clearly
  • Quarterly recap emails — "You saved $X this quarter as a member"
  • At every visit — tech mentions a relevant perk
  • Annual statement — "Total savings this year: $XXX"

The "annual savings" number is incredibly powerful for retention.

Tracking ROI for the customer

The portal shows each member their cumulative savings:

  • "$340 saved this year"
  • "Plan paid for itself in 6 months"
  • Visualizes value, reduces churn

Benefits on additional work

When you invoice non-plan work for a plan member:

  • Discount auto-applies
  • Tech is reminded ("This customer is a plan member — discount on")
  • Customer sees the perk, feels good

Many businesses find their plan members buy more additional work, not less, because they feel like insiders getting deals.

Time-limited benefits

Some perks expire:

  • "Use your free filter swap by year-end"
  • "Birthday discount valid 30 days"

HandyBook sends reminders before expiration. Unused perks are tracked but not refunded.

FAQ

Can a member share their benefits with family? Up to you — set the rule. Common: "Same household, same benefits." Not common: "Friends/extended family." Configurable per plan.

What if a customer claims a benefit not configured? You can manually apply on any invoice. Documents the goodwill but doesn't automate.

Can benefits stack? Yes — a plan member also referring friends earns referral rewards on top of plan benefits. Stack in customer's favor.

How do I retire a benefit without affecting current members? Edit the plan; choose "apply to new members only" — current members keep their original benefits as a grandfather clause.

Are benefits visible on the customer portal? Yes — front and center on their portal home. Reminds them of the value daily.
