Automating Follow-up Alongside the Pipeline

The Pipeline board is a manual tracker: you drag a customer between stages to record where a deal stands. Moving a card doesn't itself send messages or create tasks — it updates that customer's stage.

To make follow-up automatic, pair the pipeline with Drip Campaigns (CRM → Drip Campaigns). Both are Business-plan features.

How they work together

Use the pipeline to see where deals are, and drip campaigns to do the outreach automatically:

  • New customer added → a drip welcome sequence enrolls them; you drag them into "New Lead" / "Contacted" as you work them
  • Quote sent → a "Quote Follow-up" drip nudges them; you move the card to "Quoted"
  • Invoice paid → a "Referral Nudge" or thank-you drip fires; you move the card to "Won"

The drip handles the messaging on its trigger; you keep the board current with a quick drag.

A practical rhythm

  1. Set up drips for your key moments (job completed, quote sent, invoice paid, customer added) — see Building a Drip Sequence
  2. Open the Pipeline daily
  3. Move cards forward as deals progress; watch the Unassigned column for anyone who's slipped through
  4. Stages flagged won (trophy) and lost (X) make your outcomes obvious at a glance

FAQ

Does dragging a card send an email? No. Card moves update the customer's stage only. Outreach comes from Drip Campaigns.

Can a drip move a pipeline card automatically? No — pipeline stage is set by dragging. Drips send messages; you manage stages.

What's the best way to never drop a follow-up? Let drips cover the standard touches automatically, and use the board to triage anything that needs a human nudge.
