QuickBooks Online Integration
Connect QuickBooks Online to bring your existing history into HandyBook and keep your bookkeeping in sync. Available on the Pro plan and above.
Important: Invoicing stays on HandyBook so your customers pay through Stripe. The QuickBooks connection is for bookkeeping and your accountant — it handles your onboarding import and (going forward) expense/sales-receipt bookkeeping. It does not push HandyBook invoices into QuickBooks. Desktop QuickBooks isn't supported — Online only.
Connecting
- Go to Dashboard → Settings → Integrations (
/dashboard/settings/integrations). - On the QuickBooks Online (accounting) card, click Connect.
- Sign in to Intuit and approve access for the QuickBooks company you want.
- You return to the Integrations page with a green Connected badge.
If you're on Starter, clicking Connect opens an upgrade prompt — the connection resumes automatically once you upgrade to Pro.
Your access tokens are encrypted at rest and never shown in plaintext. To stop syncing later, click Disconnect on the same card.
Importing your existing data (onboarding import)
Once connected, you can pull your QuickBooks history into HandyBook. On the QuickBooks card click Import data, or go straight to Dashboard → Import → QuickBooks (/dashboard/import/quickbooks).
It imports your:
- Customers
- Quotes (QuickBooks estimates)
- Invoices
- Payments
- Expenses
- Projects / jobs
Running an import
- Under How far back should we import?, choose a window — Last 6 months, 12 months, 18 months, or Last 3 years.
- Click Start import. HandyBook pulls your data in the background; a live panel shows each type with "N imported, N to review." You can leave the page — the import keeps running.
- When it's done you may land on a review step (see below), or get a "Your last QuickBooks import is complete" confirmation.
Reviewing duplicates (collision review)
Anything that looks like a duplicate of data you already have is held for your review — nothing is overwritten automatically. Records are grouped by type (Customers, Quotes, Invoices, etc.), each showing the key fields and whether it matches a record you already have or has no existing match.
For each record, choose:
- Keep mine — keep your existing HandyBook record, skip the QuickBooks one.
- Use QuickBooks — replace your record with the QuickBooks version (only offered when there's a match).
- Keep both — import the QuickBooks record alongside yours.
You can also resolve a whole group at once with Keep mine for all or Use QuickBooks for all. The import finishes when every flagged record has been resolved.
FAQ
Will the import overwrite my data? No. Likely duplicates are staged for review, and nothing changes until you pick an option for each one.
Does it support QuickBooks Desktop? No — QuickBooks Online only.
Do my HandyBook invoices show up in QuickBooks automatically? No. Invoicing and payments stay on HandyBook/Stripe. The QuickBooks connection is for your onboarding import and bookkeeping handoff to your accountant, not for pushing live invoices.
An import failed partway — what now? The page shows the error and lets you start again. Re-running is safe; duplicates are caught by the same review step.
Is my connection secure? Yes — OAuth-based authorization (we never see your QuickBooks password) and tokens are encrypted at rest.
