Google Integration (Calendar & Drive)

Google Integration

Connect your Google account once, then turn on the pieces you want: sync scheduled jobs to Google Calendar and back up your business records to Google Drive. Available on the Pro plan and above.

This is a single Google integration — one connection with separate capability toggles. Every capability starts off; you switch on only what you need.

Connecting

  1. Go to Dashboard → Settings → Integrations (/dashboard/settings/integrations).
  2. On the Google card, click Connect.
  3. Sign in to Google and approve access. HandyBook requests calendar access and per-file Drive access (only files it creates).
  4. You return with a green Connected badge, and the capability toggles appear under the card.

Tokens are encrypted at rest. On Starter, Connect opens an upgrade prompt and resumes after you upgrade to Pro.

Capabilities

After connecting, flip each switch on or off:

Calendar sync

"Add scheduled jobs to your Google Calendar automatically."

Turn this on and your scheduled jobs are pushed to your Google Calendar so they sit alongside the rest of your day.

Drive records backup

"Create 'Handyman Book Records' in your Google Drive and back up customers, quotes, jobs, invoices, payments & expenses."

When you switch this on, HandyBook builds a Handyman Book Records folder in your Drive with a subfolder and spreadsheet for each of: Customers, Quotes, Jobs, Invoices, Payments, Expenses. Every record is written as a row, and signed quotes and invoices also get a PDF saved in their folder. After the initial build it keeps your Drive copy current on a daily schedule.

Privacy: the Customers backup deliberately omits your encrypted secure notes (property details and access notes). Those stay encrypted in HandyBook and are never written to Drive in plaintext.

If you connected before Drive access existed, you may see a prompt to reconnect Google to grant Drive access before this toggle will turn on.

Coming soon (built, pending Google verification)

Two more toggles appear on the card with a Pending verification badge and are not yet switchable:

  • Gmail send — "Send quotes & invoices from your own Gmail address."
  • Google Contacts sync — "Push your customers into your Google Contacts."

These are finished but require Google to complete its review of the sensitive permissions they use. They'll become available once that verification clears — no action needed from you in the meantime.

Disconnecting

On the Google card, click Disconnect. This removes the connection and stops calendar and Drive sync. Files already written to your Drive stay where they are.

FAQ

Why are Gmail and Contacts greyed out? They're pending Google's verification of the sensitive scopes they require. They'll activate automatically once approved.

How often does the Drive backup refresh? Once a day after the initial build. The sync is incremental and idempotent — each record is created once and updated in place when it changes.

Do my access notes get backed up to Drive? No. Encrypted secure notes are intentionally excluded from the Customers export.

Is the connection secure? Yes — OAuth authorization (we never see your Google password) with tokens encrypted at rest.
