Account & Workspace Setup

A little upfront setup makes your documents look polished and your reports meaningful. Here's the recommended pass beyond your first five minutes. Most of this is at Dashboard → Settings.

Company information

In the Company Information card:

  • Company Name — what customers see on quotes and emails
  • License Number, Service Area, Insurance Info, Business Hours

Owners and admins can edit these; members and employees see them read-only.

Rates & numbering

In the Rates & Numbering card:

  • Default Hourly Rate and Tax Rate
  • Quote Prefix and Invoice Prefix (e.g. Q-, INV-)

Payments

In Payment Processing, click Set Up Payments to connect Stripe so customers can pay invoices by card.

Notifications & follow-ups

  • Email Notifications — toggle team activity emails (jobs completed, invoices paid, quotes accepted, new members).
  • Automated Follow-Ups — set how many days after a job completes a "How did we do?" email is sent (1–30).

Calendar

In Google Calendar, connect your calendar to sync scheduled jobs as events, then use Sync Now any time.

Branding (Business plan)

At Settings → Branding, set your logo, colors, font, customer-portal subdomain, support contact, and legal links. You can also build a public marketing site at Public Site. See Logo, Colors & Branding and Your Public Website.

Team

On the Team page, invite people by email and assign a role — Member, Admin, or Employee. Each active teammate uses one seat. See Team Members & Roles.

Navigation (owner)

At Settings → Navigation, the owner can reorder and hide sidebar items and set per-teammate access. See Customizing Your Sidebar Navigation.

Security

Turn on two-factor authentication and review active sessions at Settings → Security & 2FA.

FAQ

Do I have to do all this before using HandyBook? No. The essentials are your company info and a Stripe connection if you want card payments. Come back to the rest as you need it.

Can I change branding later? Yes — any time, without changing past documents. (Branding is a Business feature.)

Where are team roles set? On the Team page, by an owner or admin.

Where do I export my data? Settings → Privacy (or Export My Data on the main Settings page). See Exporting Data & Deleting Your Account.
