Customer Status

Every customer has a Status — a single label for where they stand with your business. It's set on the customer form and editable any time from the record's Edit view. (Status was previously called "Segment.")

The five statuses

  • New — just added; you haven't done work yet
  • Active — currently doing or recently did work
  • VIP — your best customers; treat them well
  • Inactive — gone quiet; a win-back candidate
  • Overdue — owes money or has a missed follow-up

Setting status

  • On creation — the Status dropdown at the bottom of the New Customer form (defaults to New)
  • Later — open the customer → Edit → change Status → Save Changes

Where status shows up

  • Customer list — a colored pill on each card, and a Filter by customer segment dropdown to show just one status
  • Customer record header — the pill next to their name
  • Pipeline — cards carry their status alongside their pipeline stage (Business plan)

Status vs. Pipeline stage

Status is a quick, fixed label. The Pipeline (CRM → Pipeline, Business plan) is a separate kanban for tracking a lead through your sales steps. A customer can be "Active" status and sit in a "Quoted" pipeline stage at the same time — they answer different questions.

FAQ

Can I add my own statuses? No — the five are fixed. For custom workflow stages, use the Pipeline board instead.

Does the customer see their status? No. Status is internal only.

Can I filter the list by status? Yes — use the segment filter dropdown above the customer cards.

Why don't I see tags or segments? HandyBook uses the single Status field plus the Pipeline board rather than free-form tags. Sort and find customers using search and the status filter.
