Creating a Customer

A customer record is the home base for everyone you do business with. Every job, quote, and invoice links back to one. Building good records takes a minute and pays off forever.

How to create one

  1. Customers in the sidebar → Add Customer (top right)
  2. Fill the New Customer form — only Name is required
  3. Click Add Customer

You can also create one inline from a job, quote, or invoice's customer picker.

What's on the form

The form has three sections:

Contact Information

  • Name (required)
  • Email
  • Phone

Address

  • Street Address, City, State, ZIP — used as the default service address on new jobs

Property & Notes

  • Property Details — type, size, special considerations (encrypted at rest)
  • Access Notes — gate codes, alarm codes, where the key is, the dog's name (encrypted at rest)
  • Referral Source — how they found you (see below)
  • Notes — any other free-form notes
  • Status — New, Active, VIP, Inactive, or Overdue

Property Details and Access Notes are stored encrypted. See Secure Notes for what that means.

Referral Source

Pick where the customer came from: Google, Yelp, Nextdoor, Facebook, Instagram, Referral, Repeat Customer, Yard Sign, Flyer, Home Advisor, Angi, or Other. When you choose Referral, a Who referred them? field appears — type the referrer's name so you can thank them later.

To track marketing ROI by channel, set up paid sources separately under CRM → Lead Source ROI (Business plan).

FAQ

What's the minimum I need? Just a name. But add a phone or email so you can actually reach them, and an address if you'll schedule jobs.

Can I edit a customer later? Yes — open the record and click Edit in the header. The same fields are editable inline.

How do I delete a customer? Open the record → trash icon in the header → confirm. This is a soft delete; their jobs, invoices, and quotes remain.

What does Status do? It's a label for where the customer stands (New, Active, VIP, Inactive, Overdue). Filter the customer list by it and spot follow-ups at a glance.
