Your Subscription Invoices
When HandyBook charges your card for the subscription, we generate an invoice/receipt for you — useful for your bookkeeping or your accountant.
Where to find your invoices
Settings → Billing → Invoices
Lists every charge HandyBook has made to your account, with:
- Invoice number
- Date
- Amount
- Status (paid)
- PDF download
What's on the invoice
- Your business name and address
- HandyBook entity info (legal name and tax ID)
- Line items: subscription tier, prorations and additional seats
- Subtotal, tax (if applicable in your region), total
- Payment method used (last 4 of card or bank)
Tax on subscriptions
Sales tax / VAT / GST may apply on your HandyBook subscription depending on:
- Your region (US states, EU countries, AU, etc.)
- Whether you've provided a VAT/GST/EIN number
Add your tax ID in Settings → Billing → Tax Info to ensure correct invoicing (and to claim VAT credits where applicable in EU/UK/AU).
Updating billing details
In Settings → Billing → Payment Method:
- Change card on file
- Switch from card to ACH (US only)
- Update billing address (this address shows on the invoice)
- Update tax ID
Failed billing
If your card fails:
- Stripe Smart Retries — 3-4 retries over 7 days
- Email notifications at each retry
- After 7 days of failure, account becomes "past due" — features start gating
- After 14 days, account is suspended (data preserved, no access until billing resolved)
Update payment method to resolve.
Past invoices
All historical invoices are kept. Useful for:
- Year-end tax filing
- Accountant review
- Expense reports
- Audits
Download CSV of all your invoices: Settings → Billing → Export Invoices.
VAT / GST for international users
For users outside the US:
- HandyBook charges VAT/GST per local rules
- VAT-registered businesses can provide their VAT number to be invoiced without VAT (reverse-charge for B2B EU)
- Receipts include all required compliance info for your region
Invoicing your customer for HandyBook costs
If you want to bill HandyBook costs through to a client (e.g. a property management company):
- Create a regular HandyBook invoice for your customer
- Add a line item for "SaaS / software costs" if that's how your contract works
- HandyBook itself doesn't directly invoice your customers; you do via your invoices
Receipts vs. invoices
In some regions, "receipt" and "invoice" are different:
- Receipt = proof of payment (after the fact)
- Invoice = request for payment (before the fact)
HandyBook subscription billing is auto-charged, so you receive a receipt-style document. The naming may vary by region but the legal substance is the same.
FAQ
Are HandyBook fees tax-deductible? For most businesses, yes — HandyBook is a business software/operational expense. Confirm with your accountant.
Can I get a quote before subscribing? Pricing is published at handybook.app/pricing. For Business tier custom contracts, contact sales for a written quote.
Why is my charge different than expected? Common reasons: seats added mid-period or a plan upgrade, which are charged as prorated amounts. Drill into the invoice for the breakdown.
Can I switch to invoice-based billing (NET 30)? For Business tier annual contracts, yes — invoice billing with NET 30 terms can be arranged. Contact sales.
My accountant needs all my software receipts in QuickBooks. Possible? Yes — QuickBooks integration syncs your HandyBook subscription receipts as expenses to your "Software / Subscriptions" account.
