Per-Location P&L

When you run multiple locations, knowing which ones are profitable (and which are bleeding money) is essential. The Per-Location P&L breaks down profit by location with proper allocation.

What it shows

For each location, in any time period:

  • Revenue — invoices billed (or paid, in cash basis) to customers at that location
  • Direct costs — labor + materials + sub-contractors + mileage on jobs at that location
  • Gross profit and gross margin %
  • Direct overhead — rent, insurance specific to that location
  • Allocated shared overhead — head office, software, owner — distributed by rule
  • Net profit and net margin %

Allocation rules

Shared overhead (think: HandyBook subscription, owner salary, head office costs) needs to be distributed across locations. Configure in Settings → Multi-Location → Overhead Allocation:

  • Per location (split equally) — simplest
  • Per revenue — proportional to revenue (most common, fairest)
  • Per labor hour — proportional to active labor hours
  • Custom % — manual allocation if you have a specific formula

Inter-location billing

For locations that "support" each other:

  • Tech from Location A works a job in Location B → time + cost is attributed to B's P&L
  • Materials transferred from A to B → cost moves with the materials
  • Internal "billing" (location A bills location B for support) tracked separately if you want

Most setups don't need this; a tech working anywhere just attributes to the job's location.

Comparing locations

The dashboard shows side-by-side:

  • Revenue this month
  • Margin this month
  • Year-over-year change
  • Trend arrows

Spot quickly: location A is up 15% YoY, location B is down 8% — investigate.

Drilling into a location

Click any location → see its full P&L breakdown:

  • Top jobs by revenue
  • Top customers
  • Top expenses
  • Per-tech profitability within that location
  • Per-service-type margin

Per-location dashboards

Each location can have its own dashboard for its manager:

  • Manager sees only their location's metrics
  • Owner sees all locations + roll-up
  • Permissions ensure data privacy across locations if needed

When a location's profit is negative

The report flags it red. Common causes:

  • Just opened (still in growth/investment mode) — normal for 6-12 months
  • Allocation too aggressive — try a different overhead model
  • Real loss — staffing, pricing, or marketing issue → fix or close

Use the report to make the call, not just instinct.

Year-end / quarterly reporting

For tax filing or board reports:

  • Year-end P&L per location — formatted PDF
  • Consolidated P&L with location breakdown
  • Variance vs. budget if you've set per-location budgets

Budgeting per location

In Settings → Locations → [location] → Budget:

  • Set monthly revenue and expense targets
  • Track actuals vs. budget on the dashboard
  • Alerts if a location runs over budget

FAQ

My new location is losing money — should I close it? Most new locations take 6-12 months to break even. Look at trend (revenue growing? margin improving?) more than current state. If after 18 months it's still bleeding, time to seriously evaluate.

How is overhead actually allocated? Per your chosen rule, calculated monthly. View the breakdown in the report — every location shows its allocated piece transparently.

Can I have a location with shared expenses but separate revenue? Yes — log expenses at "shared" rather than per-location, allocate via your rule.

What about a holding entity / parent that doesn't operate? Set it up as a "Parent" location with no operational revenue. All overhead at parent level allocates down to child locations.

Can my franchisees see only their P&L? Yes — set their role to "Location Manager" with view-only on their location. They never see other locations' data.
